Thank you for participating in Farm Fest 2025! We are excited to welcome you to Calhoun Farm for a day of community, shopping, food, music, and farm fun. Please review the information below carefully to ensure a smooth setup and successful event.

Vendor Check-In & Setup
Vendor setup begins at 7:00 AM. July 11th 2026. If you need a Friday evening setup please contact us at calhounfarm@comcast.net to make arrangements.
All vendors should arrive no later than 9:00 AM to allow sufficient time for unloading, parking, and booth setup. Booths MUST BE set up no later than 9:30. All cars must be removed from the vendor area BY 9:30. If you arrive late, you may still set up, but not in the vendor field, you will be given a space on the edge of the yard area.
Please check in with event staff upon arrival. Our team will direct you to your assigned vendor space. Helpers will be available to help you put up your canopy. Please remove your car as soon as you unload to make room for everyone else.
All vehicles must be moved to vendor parking areas before the event opens to the public at 9:30AM.
Vendor Spaces

Standard vendor spaces are approximately 10' x 10' unless otherwise arranged.

Vendors are responsible for supplying their own tent, tables, chairs, displays, and setup materials.

Please keep all displays within your assigned space.

Be considerate of neighboring vendors and avoid blocking walkways.
Tent Requirements
Farm Fest is an outdoor event.
All tents must be properly weighted and secured. Please be prepared to weigh down your canopy or tie it down. It is always very breezy at the farm, and tents will fly away.
Weights are strongly recommended regardless of weather conditions. Sudden wind gusts can occur and may create safety hazards.
Electricity
Electricity is limited and available only to vendors who requested it during registration and received approval.
If approved for electricity:

Bring your own 100' heavy-duty extension cords.

Ensure all electrical equipment is in safe working condition.
Parking
Free vendor parking is available on-site.
After unloading, all vendor vehicles must be moved to designated parking areas to maintain safe pedestrian access throughout the event.
Weather Policy
Farm Fest is a rain-or-shine event.
Please prepare for changing weather conditions, including:

Sales Tax & Licensing
Vendors are responsible for complying with all applicable federal, state, and local regulations, including Pennsylvania sales tax requirements.
Food vendors must comply with all health department regulations and permitting requirements.
Food & Beverage Vendors
Food vendors should arrive early to allow time for placement and setup.
Please ensure:

Event Courtesy Guidelines
To create the best experience for customers and fellow vendors:

Be fully set up before opening.

Keep your space clean and organized.

Dispose of trash properly.

Treat customers and fellow vendors with respect.

Do not pack up before the event concludes at 4:00 PM unless approved by event organizers.
Promotion
We encourage vendors to help promote Farm Fest through social media sharing, inviting your facebook friends to the event, email newsletters, and word of mouth. We are happy to send you flyers to hand out at any events you attend.
How do we promote? We utilize yard signs throughout the area, we run ads on Facebook and Instagram, we advertise via radio ads, newspaper articles. Flyers are displayed at local businesses. Flyers are handed out in our store. We do vendor highlights linking to your social media or website if you supply us with pictures and links. We utilize email and SMS messages to promote the event.
